What is maintenance, really?

Maintenance is the set of activities that keep machines, equipment and installations capable of doing the job they were bought to do — and repair is only what happens when that fails.

A guide for maintenance managers and technical teams

The definition

In English the discipline is called Maintenance; in Persian it is نگهداری و تعمیرات, usually shortened to نت. The order of those two words matters. The foundation is نگهداری — keeping the equipment healthy — and تعمیرات is what you resort to when keeping it healthy did not work.

A modern working definition: planning and performing activities on equipment so that it continues to operate and produce a product or service of the expected quality, without unplanned interruption. Everything else in this field is a method for doing that more cheaply or more reliably.

Maintaining plant equipment

Plan the work

Schedule maintenance deliberately rather than reacting. A plan that prevents a line stopping protects the capital tied up in that line.

Clean and service properly

Cleaning and routine servicing are not trivial. Use materials compatible with what the equipment is made of.

Analyse the data

Review operating data to determine which equipment actually needs attention, rather than servicing everything on the same cycle.

Train the operators

The people running the machine daily notice the change in sound or vibration first. Training turns that into a reported observation.

How to improve your maintenance planning

Set the right frequency

Base the interval on how much and how hard the equipment is actually used — not on a number inherited from a manual.

Use operating data to schedule work before failure rather than after, so the stoppage happens when you choose.

Use condition data

Sensors and IoT devices report temperature, pressure, flow and vibration continuously, which turns guesswork into evidence.

Technology

Use a CMMS

A maintenance management system plans by frequency and need, stores the history, and makes the analysis possible at all.

Why the data has to be structured

Collecting equipment data by hand in a notebook is better than nothing, but it cannot be analysed. To predict failures you need the history in a structured form — which machine, which failure mode, which cause, how long it was down, what it cost.

That is the practical argument for a database and a standard format rather than spreadsheets: not tidiness, but the ability to ask which equipment fails most, which cause repeats, and whether the interval you chose was right.
